Job Description

SUBSTITUTE CLERICAL

JOB SUMMARY

Under supervision to perform a variety of clerical/secretarial office tasks and other job-related duties as required or assigned.  The level of difficulty will vary, being determined by the position in which a person is substituting. Acceptable performance in a substitute capacity requires basic knowledge of office skills and procedures, being able to use independent judgment in selecting proper work methods within given guidelines.  New or unusual situations are to be referred to a supervisor. 

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES

  1. May assist the public through referrals and answering requests where possible; 

  2. May insert and extract materials from files, and prepare new files; may operate standard office machines; 

  3. May check and record student absences and do other tasks related to attendance accounting;

  4. May type routine correspondence and/or reports; may answer telephones;

  5. For some positions, more specialized knowledge may be required, i.e., accounting knowledge.

  6. Perform other related work as may be required.

EMPLOYMENT STANDARDS

KNOWLEDGE AND ABILITIES

Knowledge of:

  1. Written and spoken English, grammar, spelling and punctuation; 

  2. Basic math calculations; 

  3. For some positions, specialized knowledge may be required. 

Ability to:

  1. Follow oral and written directions; 

  2. File accurately; 

  3. Operate standard office equipment; 

  4. Handle public contacts effectively;

  5. Learn new information and procedures quickly; 

  6. Work cooperatively with students and staff. 

EDUCATION AND EXPERIENCE

Education: High School Diploma, General Education Degree (GED), or Certificate of Proficiency.

Experience: One year of paid experience in general office duties is preferred. 

REQUIRED LICENSES AND/OR CERTIFICATES

  1. Possession of and maintain a valid California Driver's License during the course of employment;

  2. Have an acceptable driving record;  

  3. Must be insurable at standard rates by the District's insurance carrier and maintain such insurability during the course of employment. 

  4. A minimum typing speed of 45 net words per minute preferred.  

PHYSICAL DEMANDS AND WORKING CONDITIONS

The physical requirements indicated below are examples of the physical aspects that this position classification must perform in carrying out the essential functions. 

Physical Demands:  Sitting (up to continuously); stand, walk, bend, stoop, look up/down (occasionally); push, pull, twist, squat, climb stairs (infrequently); repetitive hand activities within close reach, such as keyboard, mouse, handwriting, files & phone (continuously); lift/carry office supplies up to 10 pounds (occasionally), to 30 pounds (infrequently); use vision, hearing and speaking. 

Working Conditions:  School office and grounds. Exposure to: inside/outside temperature swings, use of office equipment & supplies, proximity to alarms.
