TRANSPORTATION COORDINATOR
JOB SUMMARY:
Under the direction of the Executive Director of Transportation, or designee, the Transportation
Coordinator manages and supervises assigned specialty areas within the Transportation Department,
with a primary focus on overseeing the district’s school bus driver training program and regulatory
compliance operations. This position manages and supervises assigned transportation staff working
across multiple sites and varied shifts to maintain safe, efficient, and fully compliant transportation
services.
ESSENTIAL FUNCTIONS:
1. Plan, direct, and oversee the District’s school bus driver training program, including initial
classroom and behind-the-wheel (BTW) training, ongoing/renewal hours, and safety meetings;
2. Ensure departmental adherence to all applicable laws, including but not limited to California
Highway Patrol (CHP), Department of Motor Vehicles (DMV), Title 5, California Education Code,
and federal regulations; maintain auditable driver qualification files, T-02 records, and medical
certifications;
3. Direct, supervise, instruct, and evaluate assigned department personnel, including driver
instructors, delegated behind-the-wheel trainers, drivers, and office staff;
4. Develop and implement strategies to ensure route coverage and operational efficiency; analyze
operational performance and office workflows;
5. Develop, implement, and maintain departmental software, GPS tracking systems, and
computer-assisted routing data;
6. Coordinate with supervisors, shop personnel, and routing staff to maintain updated lists of routes,
schedules, bell times, tiering, and time reporting;
7. Lead safety evaluations, perform ride-along assessments, investigate accidents/incidents, and
implement post-incident driver retraining;
8. Coordinate directly with Transportation Department Accounting staff to verify route accuracy and
ensure timely invoicing for partner districts;
9. Serve as a liaison between district administration, school site staff, drivers, regulatory agencies,
and the public;
10. Address daily driver and staff concerns;
11. Coordinate with fleet maintenance personnel to monitor vehicle availability, inspection status,
repair priorities, preventive maintenance schedules, safety defects, and the timely return of
vehicles to service;
12. Assist with preparation and monitoring of departmental budgets, staffing projections, contracts,
invoices, equipment needs, transportation costs, and related operational expenditures;
13. Monitor and analyze performance indicators such as on-time route performance, missed or
uncovered routes, driver availability, overtime, training completion, certification status, accidents,
complaints, ridership, route capacity, and service costs; recommend and implement
improvements;
14. Review employee schedules, assignments, time records, extra-duty work, leaves, overtime, and
hours-of-service information to ensure accuracy, contractual compliance, appropriate
authorization, and adherence to applicable working-hour limitations;
15. Plan, coordinate, document, and evaluate required school bus evacuation drills, emergency
procedures, first aid readiness, and other transportation safety exercises;
16. Prepare, compose, and maintain a variety of narrative, statistical, and compliance reports,
records, and files; solve operational issues before they become systemic problems;
17. Coordinate specialized transportation services for students with disabilities in collaboration with
Special Education personnel, school administrators, families, transportation staff, and contractedproviders, consistent with student plans, health needs, behavioral supports, equipment
requirements, and applicable law, as assigned;
18. Work collaboratively with administrators, drivers, parents, and staff to address student conduct,
safety concerns, bus referrals, service complaints, and other transportation-related issues;
19. Perform related supervisory and administrative duties as assigned by the Executive Director of
Transportation or designee.EMPLOYMENT STANDARDS
KNOWLEDGE AND ABILITIES
Knowledge of:
1. State, local, and federal laws, rules, and regulations governing school bus operations, student
transportation, driver licensing, and safety compliance (including CHP, DMV, Title 5, the California
Education Code, and CA SB 88).
2. Principles, methods, and curriculum used in classroom and behind-the-wheel driver instruction.
3. Departmental routing, scheduling, GPS, and database software.
4. Principles and practices of management, leadership, supervision, and staff evaluation.
5. Multiple bell-schedule management and route-tiering strategies.
6. District policies, procedures, and Bargaining Unit Contracts.
7. Driver record-keeping, computational methods, and report preparation procedures.Ability to:
1. Oversee and conduct a comprehensive school bus driver training and compliance program.
2. Direct, supervise, delegate, instruct, and evaluate staff across multiple shifts and locations.
3. Identify operational efficiencies and execute effective solutions.
4. Recommend, interpret, explain, and enforce rules, regulations, policies, and collective bargaining
agreements.
5. Organize complex tasks, balance daily responsibilities, set priorities, and meet critical compliance
deadlines.
6. Work independently and make sound, autonomous operational decisions with minimal
supervision.
7. Communicate clearly and professionally, both verbally and in writing, to promote positive
customer service and community relations.
EDUCATION / EXPERIENCEEducation:
Minimum of a High School Diploma or equivalent.
Experience:
Two (2) or more years of progressive experience managing school transportation, fleet operations, or
driver training within an educational or transportation logistics environment.REQUIRED LICENSES AND/OR CERTIFICATES
1. Possession and maintenance of a valid California Driver's License during the course of
employment;
2. Have an acceptable driving record;3. Must be insurable at standard rates by the District's insurance carrier and maintain such
insurability during the course of employment.
4. Criminal Justice Fingerprints/Background Clearance.
5. Possession of a valid California State-Certified School Bus Driver Instructor Certificate or
equivalent state instructor credential (Highly Recommended).PHYSICAL DEMANDS AND WORKING CONDITIONS
The physical requirements indicated below are examples of the physical demands this position
classification must meet in carrying out the essential functions.
Physical Demands: Sit (up to continuously); stand, walk, bend, stoop, look up/down (occasionally); push,
pull. twist, squat, climb stairs (infrequently); repetitive hand activities within close reach, such as
keyboard, mouse, handwriting, files, and phone (continuously); lift/carry office supplies up to 10 pounds
(occasionally); to 30 pounds (infrequently); use vision, hearing, and speaking.
Working Conditions: District office and grounds; indoor office setting; Exposure to: inside/outside
temperature swings, use of office equipment & supplies, proximity to alarms.
