Position Title: College & Career Specialist

Location: Educational Services - College & Career Department

Work Year: 12 Months 

Hours/Days: 8 hours per day, 5 days per week

Daily Schedule: Monday - Friday 7:30 a.m. - 4:30 p.m.(hours can change based on site needs)

 COLLEGE & CAREER SPECIALIST

 

JOB SUMMARY 

Under the direction of the Director of College and Career and in coordination with, a successful candidate performs advanced clerical and technical work in the documentation, development, coordination, and maintenance of a variety of college and career readiness programs. The College and Career Specialist uses the district Student Information System (SIS), California Longitudinal Data System (CALPADS), and other databases and tools to develop reports, maintain participation and outcome documentation, support programming logistics, and provide fiscal clerical support, including contract file maintenance, requisition processing, and budget tracking. 

 

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES 

  1. Assist site personnel and program staff in the use of the district Student Information System (SIS) and related tools as related to proper documentation of college and career readiness, Career Technical Education, AVID, program participation, early college attainment, and other indicators as they become relevant to positive student outcomes;

  2. Enter, update, verify, and maintain student and/or program data in SIS and other platforms; perform routine data validation and corrections as needed;

  3. Develop routine and ad hoc reports to document enrollment, participation, completion, and outcomes for CTE pathways, college and career programs, and prevention/intervention supports;

  4. Support program improvement practices by maintaining trackers, workflows, templates, checklists, documentation systems, and continuous-improvement artifacts; assist with surveys and data collection as assigned;

  5. Arrange, schedule, and prepare for meetings (CTE, college/career, AVID, TK–12 counseling supports, and prevention/intervention); prepare agendas/materials; take and transcribe minutes; maintain official records and follow-up items;

  6. Provide clerical programming support for college and career events and activities, including, but not limited to, career fairs, work-based learning events, guest speakers, FAFSA/CADAA activities, scholarship/application support events, college visits, and similar events for grades TK-12;

  7. Support documentation and clerical processes for college agreements and partnerships (e.g., dual/concurrent enrollment, articulation, and related collaborations) as assigned; maintain partner contact lists and agreement files/timelines;

  8. Assist in developing and maintaining course/pathway communications and documents for students, families, and community partners (program flyers, pathways guides, timelines, calendars, and standard communications);

  9. Support AVID and TK–12 counseling systems through clerical coordination of schedules, communications, materials, training logistics, and data supports aligned to district initiatives;

  10. Provide clerical support to the College and Career department, including coordination of communications, documentation/records, meeting preparation, and follow-up support with sites and community agencies as assigned;

  11. Monitor assigned program budgets; track expenditures and encumbrances; maintain fiscal trackers; prepare summaries and routine updates for the College and Career Department;

  12. Process, track, and reconcile requisitions, purchase orders, invoices, and receiving documentation in accordance with district procedures; coordinate with Fiscal Services, vendors, and program leads;

  13. Maintain contract management clerical files and tracking systems, including required documents, approvals, service dates, renewals, and vendor/partner communications as assigned;

  14. Perform complex typing and operate a variety of office machines and equipment, including the operation of word processing, spreadsheet, presentation, scanning, and database tools;

  15. Utilize a variety of software applications to support communications, scheduling, reporting, documentation, data progress monitoring, and program operations;

  16. Provide professional customer service; respond to and route inquiries from staff, families, students, and community partners; follow up to ensure timelines and deadlines are met;

  17. Perform other related work as may be required.

 

EMPLOYMENT STANDARDS 

KNOWLEDGE AND ABILITIES

Knowledge of: 

  1. Knowledge of the Aeries student information system and the California Longitudinal Pupil Achievement Data System (CALPADS) is preferred.

  2. Computer use, including spreadsheets, databases, and presentation software; data entry and reporting practices.

  3. Budgetary procedures, requisition processing, purchasing practices, invoice tracking, and contract file maintenance.

  4. Precise English usage, spelling, grammar, and punctuation; business correspondence and communication practices.

  5. Applicable state laws, District policies, procedures, confidentiality expectations, and other regulations governing programs or areas of responsibility.

  6. General public relations, customer service practices, and effective communication with school sites and community partners. 

Ability to: 

  1. Learn and utilize new and current techniques, systems, and technologies; adapt to changing program requirements.

  2. Develop and maintain effective relationships with those contacted in the course of work, including staff, families, vendors, and community partners.

  3. Operate a variety of office equipment, including a computer, printer, scanner, calculator, and copy/fax machine.

  4. Organize tasks, set priorities, manage multiple assignments, and meet deadlines across multiple programs, departments, and divisions.

  5. Communicate clearly, both orally and in writing; prepare accurate and professional documentation and reports.

  6. Maintain confidential and sensitive information and exercise appropriate judgment.

  7. Respond appropriately to direction and demonstrate initiative within assigned responsibilities.

  8. Demonstrate good judgment and good problem-solving skills.

  9. Type or keyboard at a net corrected speed of 45 words per minute.                

EDUCATION AND EXPERIENCE

Education:  

High School Diploma, General Education Degree (GED), or Certificate of Proficiency, and possession of the knowledge and abilities listed above.

Experience:  

Two (2) or more years of increasingly responsible clerical experience, preferably in a school district or program office environment; experience supporting data systems, reporting, and fiscal clerical tasks is highly desirable.

 

REQUIRED LICENSES AND/OR CERTIFICATES 

  1. Possession and maintenance of a valid California Driver's License during the course of employment;

  2. Have an acceptable driving record;  

  3. Must be insurable at standard rates by the District's insurance carrier and maintain such insurability during the course of employment. 

  4. Criminal Justice Fingerprints/Background Clearance. 

 

PHYSICAL DEMANDS AND WORKING CONDITIONS 

The physical requirements indicated below are examples of the physical demands this position classification must meet in carrying out the essential functions.

Physical Demands: Sit (up to continuously); stand, walk, bend, stoop, look up/down (occasionally); push, pull. twist, squat, climb stairs (infrequently); repetitive hand activities within close reach, such as keyboard, mouse, handwriting, files, and phone (continuously); lift/carry office supplies up to 10 pounds (occasionally); to 30 pounds (infrequently); use vision, hearing, and speaking. 

Working Conditions: District office and grounds; Indoors office setting; Exposure to: inside/outside temperature swings, use of office equipment & supplies, proximity to alarms.
