Requirements

Qualifications 

  • Bachelor Degree preferred 

  • 2-4 years’ experience working in urban schools or in organizational operations  

  • Manage and manipulate large amounts of data in Excel and databases 

  • Strong analytical and quantitative abilities 

  • Ability to work independently and in a team in a fast-paced environment required 

  • Spanish and English fluency preferred 

  • Highly organized, detail-oriented and able to produce error-free work 

  • Ability to synthesize data and desire to analyze and improve systems. Our data systems include: PowerSchool, SpendBridgeDataDirector, Illuminate, Welligent, Excel and mail merge. 

  • Ability to understand and navigate the political, social, economic, legal and cultural context facing urban charter schools and the students they serve

IEP CLERK

Founded in 2000, Camino Nuevo Charter Academy students represent the neighborhood of MacArthur Park west of downtown Los Angeles, a community that is one of the most under-resourced and densely populated neighborhoods in Los Angeles. Currently, CNCA has eight campuses that serve over 3,500 students from pre-K through 12th grade.

The Opportunity 

Under the supervision of the School Operations Manager, the IEP Clerk will be responsible for performing clerical duties related to the management, organization and correspondence of special education information. The IEP Clerk will act as member of the School Operations Team and is responsible for the execution of a robust plan to ensure compliance of the Special Education Program. 

 

Responsibilities 

 

Essential Functions 

  • Coordinate and schedule IEP meetings in conjunction with designated Special Education administrator (schedule with parents, teachers & service providers, coordinate class coverage as necessary, coordinate logistics regarding location & required attendees, sending materials home). 

  • If applicable, provide Spanish interpretation during IEP meetings (must attend LAUSD Oral Interpretation training) 

  • Maintains accurate special education records in PowerSchool 

  • Provide administrators with the parent brochures and sign-in sheet needed during an IEP meeting 

  • Assist in sending requested records to district schools, agencies, or other clerical staff 

  • Assist special education teachers and administrators with the monitoring of the IEP Master Calendar and maintaining the special education paperwork, meetings, and filing 

  • Create, send, collect, and file IEP Meeting Notification forms according to IEP Master Calendar 

  • Create, send, collect, email, and file Assessment Plans according to IEP Master Calendar 

  • Add IEP meeting participants and IEP meeting date on the Welligent system  

  • Inform HSO Central Special Education of any new student enrollments with an IEP 

  • File and organize all IEP documents within the green folder of each student’s cumulative record file 

  • Help coordinate communication between related service providers, teachers, and administrators regarding service schedules 

  • Ensure all special education related bulletins/posters/brochures are posted in the main office 

  • Participate in LAUSD and/or HSO trainings related to special education compliance, policies, and procedures 

  • Upon receipt of a written or verbal request for special education by a parent or outside agency/organization or medical documents from a student with an IEP immediately inform Administrators. 

  • Assist with developing special education program by reporting any IEP and/or special education compliance concerns to administration  

  • Support with student information-specific data requests relating to compliance and reporting requirements for CNCA (internal stakeholders, grant reports, research requests, etc). 

  • Other duties as assigned.
